1. Who we are

Sector Tech Solutions Ltd, trading as SectorPass, is the data controller for the personal information described in this policy. We are registered in England and Wales, with our registered office at 49, Station Road, Polegate, East Sussex BN26 6EA.

We are registered with the Information Commissioner's Office.

2. What we collect

When you enrol, we collect:

• Your full name

• Your email address

• Your phone number

• Your postcode and region

• Your current or most recent job title

• The role you are working towards, if you tell us

• The qualification you are enrolling on

• How you heard about us, including a referral partner where applicable

We also hold a record of your payment, though we never see or store your card or bank account details. Payments are handled by Monzo Business bank, who process them under their own privacy policy.

3. Why we use it, and our lawful basis

To deliver your enrolment. We use your name, email and chosen qualification to register you with Highfield Qualifications, and your phone number to contact you if there is a problem. Our lawful basis is performance of a contract with you. Without this information we cannot enrol you.

To take and reconcile payment. Our lawful basis is performance of a contract.

To meet our obligations as an approved centre. Highfield Qualifications and Ofqual require us to keep records of learner registrations. Our lawful basis is legal obligation and legitimate interests in maintaining our centre approval.

To account for referral partners. Where a partner referred you, we record that so we can account to them. Our lawful basis is legitimate interests in running our business.

To understand demand. We use postcode, region and role information in aggregate to decide which courses and locations to focus on. Our lawful basis is legitimate interests. You can object to this at any time and it will not affect your enrolment.

We will only send you marketing if you have asked us to. You can unsubscribe at any time.

4. Who we share it with

Highfield Qualifications. We share your name, email address and chosen qualification so they can register you, give you LMS access, invigilate your assessment and issue your certificate. Highfield Qualifications is a separate data controller and processes your data under its own privacy policy.

Google. Enrolment form responses are stored in Google Sheets and Tally. Both act as processors on our behalf.

Monzo Business bank. For processing payment.

Referral partners. Where a partner referred you, we confirm to them that your enrolment was completed. We share your name only — not your contact details, postcode or job information.

We do not sell your data. We do not share it with anyone else unless we are required to by law, or unless it is necessary to investigate suspected malpractice.

5. Where your data is held

Our processors may store data outside the UK. Where they do, appropriate safeguards are in place, including UK international data transfer agreements or adequacy decisions.

6. How long we keep it

We keep enrolment records to meet awarding body record-keeping requirements and to deal with any later query about your qualification.

We keep financial records for 6 years, as required by HMRC.

Enrolment forms with no matching payment are deleted after 28 days.

7. Your rights

Under UK data protection law, you have the right to:

• Ask what data we hold about you and get a copy

• Have inaccurate data corrected

• Ask us to delete your data, where we are not required to keep it

• Ask us to restrict how we use your data

• Object to processing based on legitimate interests

• Receive your data in a portable format

To exercise any of these, email sync4sectors@gmail.com. We will respond within one month.

Some of your data cannot be deleted on request, because we are required to retain learner records as an approved centre. We will explain if this applies.
